ATS-Friendly CV Format
An applicant tracking system (ATS) is software some employers use to collect and organise job applications. There is no single format guaranteed to work with every system, but a straightforward document makes your information easier for both software and people to read. Focus on clear structure, accurate details and relevant evidence.
What makes a CV easier to read?
Use a simple layout with conventional section names such as “Work Experience”, “Education” and “Skills”. Put your name and contact details in the main document body. Use a logical reading order, consistent dates and concise bullet points. A single-column design is a sensible default when you do not know how an employer's system handles complex layouts.
Use job-relevant words naturally
Read the vacancy and identify the skills, qualifications, tools and responsibilities that genuinely match your background. Use the same terms when they accurately describe your experience. For example, if a role asks for spreadsheet reporting and you have done that work, say so clearly. Do not repeat a keyword unnaturally or claim a skill you do not have.
Keep the formatting simple
- Use clear text headings and familiar section names.
- Prefer a straightforward, single-column reading order.
- Avoid putting essential contact details only in headers, footers, images or icons.
- Use ordinary bullet points rather than decorative symbols.
- Choose readable fonts and a consistent font size.
- Keep tables, text boxes, charts and decorative graphics out of the main information flow where possible.
- Use a file format requested by the employer. If no format is specified, a text-based PDF or DOCX is commonly practical.
Write experience bullets that show what you did
Begin with a clear action and describe the task, tools or context. Add a result or scale only when you can support it. For example, a truthful bullet can explain that you prepared weekly stock reports using Excel; it should not invent a percentage improvement or number of users.
Check whether your PDF contains selectable text
After exporting, try selecting and copying a sentence from the PDF. If the content behaves like a single image, text extraction may be difficult. Also check that copied text appears in the correct order and that special characters have not been lost.
Is an ATS-friendly CV guaranteed to pass?
No. Employers use different systems and screening settings, and the selection process can involve qualifications, experience and human review. A simple format can reduce avoidable parsing problems, but it cannot guarantee that a CV will be accepted, ranked highly or shortlisted.

Common questions
Does an ATS-friendly CV guarantee an interview?
No. A readable format may help avoid formatting issues, but it cannot guarantee that an employer's system or recruiter will shortlist an application.
Should I use a photo on an ATS CV?
For many standard job applications, a photo is unnecessary unless the employer or application asks for one.
Is PDF or Word better for ATS?
Follow the employer's instructions. If no format is specified, use a clean text-based PDF or DOCX and check the exported file.
